Onboarding


The new Onboarding feature is all about use of electronic TFN Declarations which an employee can now complete online directly with the ATO via their MyGov account. By retrieving TFN data using this Onboarding feature, an employer is deemed to have satisfied the requirements associated with the receipt and retention of paper TFN Declarations.


There are two option within the Onboarding feature designed to facilitate the use of TFN Declarations completed online by an employee. An employer can provide a new employee with an Employee Link, or the employee can complete the TFN Declaration online accessing Online Services via their MyGov access without a link. Once complete the employee is issued an Event ID by the ATO. The employer can then retrieve the TFN Declaration data based on the Event ID provided by the employee or via the Employee Link details.





Clicking the Onboarding button on the Main Screen open the Onboarding Screen as you can see below:




Employee Link



Complete the relevant fields and then click Generate Link. The link can be emailed to the employee or provided via a webpage on the employers website.


Note the same link cannot be used for other employees, you will need to generate a new link.


Click Add to Hub, and you will see the message below:




After the employee has advised you they have completed the online TFN Declaration, you can lodge the request to retrieve TFN data with the ATO via the Onboarding Hub - see below.


This is what the employee will see when she/he clicks on the link and signs into their MyGov account.






Event ID



Enter the Employee Name and the Event ID the employee provided. Then click Generate Request. You will see message below:

In the image below, there are 2 Request_IDs. No.2 was generated when the Employee Link was added to the Hub, note the Message_ID. No. 3 was generated when the Event ID was used to generate the request, note the Message_ID


Select the Request you want to Lodge and click the Lodge Button. Once successfully Lodged, click the Check Result button to see if the ATO Accepted the request.



If the Request was Accepted, with the Request_ID ticked, click the View Report button. You will see a screen similar to the one below:




Use the TFN Declaration information retrieved to update your employee's details in your payroll system. Use the Save buttons to saved these details in a format that you prefer.
