More Employees in the linked MYOB® file than currently in this Data Set file


Basic Principles





'There are more Employees in this company file than are in this Data Set file'


When you load data from a linked MYOB® company file, you may see this message:




The number of employees in your MYOB® and the number of Payees in the Data Set file must match. These are not automatically updated.


If you have added one or more employees in your MYOB® file since you last used this Data Set file, before proceeding, from the Permanent Data Set screen select  '4. Select Payees'.


Then click 'Update from Company File' - STP Creator will update the Payee Table by adding the new employee(s). If the new employee(s) have been paid, sort the Payee Table by Payee ID and select the employee(s) from the bottom of the Payee table and then click 'Include in STP' - this will ensure STP Creator reports on the new employee(s). You should then click 'Check All STP Payees' to ensure the STP count and the Checked count match.



Deleted Employees

This message can also occur if you have deleted Employees (Payees) from your Data Set file. You CANNOT delete employees from the Data Set file. If the employee is in your MYOB® file, they MUST also be in the Data Set file. These 2 numbers must match:




If the employees are no longer being paid, simply do not Include then in STP. They will be ignored - but you cannot delete them from the Data Set file.  If you did delete Employees, from the Permanent Data Set screen select '4. Select Payees'.


Then click 'Update from Company File' - STP Creator will update the Payee Table by adding the employee(s) back in. You should then click 'Check All STP Payees' to ensure the STP count and the Checked count match.


Click Save to close the Payee screen and update the Data Set file.



Less Employees in the linked MYOB® file than currently in this Data Set file





You may see this message if you have deleted one or more employees from your MYOB® file since you last used this Data Set file. The number of employees in your MYOB® and the number of Payees in the Data Set file must match. These are not automatically updated.



To update the Data set file, from the Permanent Data Set screen select  '4. Select Payees'.


Then click 'Update from Company File' - STP Creator will update the Payee Table based on the MYOB® file. It will then check all Payees in the table are also in the MYOB® file.


If the STP Creator detects a Payee who is not in the MYOB file, you will see a message similar to that below. Make a note of the Payee ID. If you see more than one message, make a note of all Payee ID's.






Next tick the relevant Payee ID's and then click Delete. You will see an alert as per image below.





Click Yes.


Click Save to close the Payee screen and update the Data Set file.
